The Challenge
Real estate agencies often struggle with fragmented lead sources, manual follow-up processes, and disconnected property management systems, leading to lost sales opportunities.
Ajmonic Technologies initiated the development of EstateFlow CRM to address the inefficiencies in property sales pipelines. The goal was to build a multi-tenant SaaS application that unifies leads, properties, and agent communications.
Requirements
- 1Multi-channel lead ingestion via APIs.
- 2Role-based access control for brokers, agents, and administrators.
- 3Automated task generation for lead follow-ups.
- 4Dynamic property listing management.
- 5Comprehensive analytics dashboards.
Our Approach & Architecture
We adopted a cloud-native architecture, utilizing a robust relational database to handle complex associations between leads, properties, and agents. The frontend was built with Next.js to ensure speed and SEO capabilities for public-facing components.
Architecture
The application relies on a modular Node.js backend providing RESTful APIs. PostgreSQL manages the relational data, while Redis handles session management and caching for real-time dashboard updates.

Implementation & Challenges
Development progressed through iterative sprints. Initial phases focused on core data modeling and authentication. Subsequent sprints introduced the pipeline visualization and third-party portal integrations.
Technical Hurdle
Handling real-time synchronization across multiple agent dashboards without overloading the database.
The Outcome
The project resulted in a scalable, production-ready SaaS product architecture capable of supporting multiple real estate agencies securely and efficiently.
Key Learnings
